Accepted file formats, size limits, and languages

Find out which file formats and languages CyberVadis accepts for evidence uploads, what the file size limit is, and how to prepare documents in other languages for review.

File size limit

Each file must be smaller than 19.5 MB. If your document exceeds this limit, consider splitting it into sections or compressing it before uploading.

Accepted file formats

CyberVadis accepts the following file formats:

Documents: .pdf, .docx, .doc, .odt, .ott, .sxw, .stw, .txt, .html

Spreadsheets: .xls, .xlsx, .ods

Images: .jpeg, .jpg, .png, .gif, .bmp

Presentations: .odp

Video: .wmv

A note on PDF files

If you are uploading a PDF, make sure it is saved as a standard .pdf file. Some PDF editors save documents as "Adobe Acrobat Document" format, which uses a proprietary file tag that can cause upload errors on the platform. To avoid this, open the file in your PDF editor and use "Save As" to save it explicitly as a .pdf before uploading.

Password-protected files

Do not upload password-protected documents. Our analysts will not be able to open them, and the evidence will not be considered in your assessment. Remove any password protection before uploading.

File naming

Use descriptive file names that make it easy for analysts to identify what each document contains. For example:

  • Information Security Policy v2.1 2025

  • Access Control Procedure March 2025

  • Incident Response Plan 2025

Avoid generic names like "document1" or "scan001" which make it difficult to match evidence to the correct control during review.

Accepted languages

CyberVadis accepts documents in all languages. You do not need to translate your documentation into English or French before uploading.

However, if your documents are not in English or French, please also upload an editable version of the document (such as an MS Word file) alongside the original. This allows our team to translate the content if needed during the review process.

Managing your uploaded files
